VALOR INSTITUTE FACILITY USAGE REGULATIONS
Welcome to Valor Institute. Our facilities are available for rental to organizations and individuals who wish to use them for approved events. To ensure a smooth experience and maintain the integrity of our school environment, the following facility usage regulations apply. By applying for and utilizing the facilities, all parties agree to abide by these legally binding terms.
1. General Use Guidelines
All facility rentals must be approved in advance in writing by Valor Institute administration.
Facilities are available for rental only outside of regular school hours, including evenings, weekends, and school holidays, unless special approval is granted.
The designated responsible individual named on the rental application must be present for the entire duration of the event and is accountable for compliance with all rules.
Events must not conflict with the educational mission, policies, or values of Valor Institute. Activities deemed inappropriate by the school administration will be denied approval.
The school reserves the right to refuse or revoke permission for facility use at any time for violations of these regulations.
2. Application & Approval Process
A fully completed application, including all requested documentation, must be submitted no less than 30 days prior to the requested date of use.
Applications will be reviewed based on availability, purpose, compliance with school policies, and potential impact on school operations.
Approval will be granted in writing, and no facility use is permitted without a signed rental agreement.
Any requested changes to the agreement must be submitted in writing and approved by Valor Institute before taking effect.
3. Fees & Payment
Rental fees vary depending on the facility requested, duration of use, and nature of the event. A fee schedule will be provided upon inquiry.
A security deposit may be required for certain events and is refundable only if no damages occur.
Full payment of rental fees must be made within 14 days of invoice issuance. Failure to pay on time may result in cancellation of the reservation.
Cancellations must be submitted in writing at least three (3) calendar days before the event to receive a partial refund, less any applicable administrative fees.
No refunds will be issued for cancellations made less than 72 hours before the event.
4. Insurance & Liability
Organizations must provide proof of liability insurance covering Valor Institute, its employees, board members, and agents against claims, injuries, or damages resulting from facility use. The required insurance coverage amount will be specified in the rental agreement.
The renting party is solely responsible for any damages or injuries occurring during the event, including damages caused by attendees, employees, volunteers, or contractors hired by the renting party.
Valor Institute is not responsible for any loss, theft, or damage of personal property belonging to the renting party or event attendees.
The renting party must sign a hold harmless agreement indemnifying Valor Institute against any claims arising from facility use.
5. Facility Rules & Restrictions
The consumption, possession, or distribution of alcohol, narcotics, tobacco products, vaping devices, or controlled substances is strictly prohibited on school property.
No decorations, signage, or equipment may be affixed to walls, ceilings, floors, or furniture in a manner that could cause damage. Adhesives, nails, screws, or similar fixtures are prohibited.
The facility must be restored to its original condition following use, including removal of decorations, rearrangement of furniture, and proper disposal of trash.
Excessive noise, loud music, or disruptive activities are prohibited, and all events must comply with local noise ordinances.
Food and beverages may only be consumed in designated areas approved by the school administration.
6. Security & Supervision
For large gatherings, security personnel may be required at the expense of the renting party. The school administration will determine if security is necessary.
Minors attending events must be supervised at all times by responsible adults designated by the renting party.
Valor Institute reserves the right to assign school staff to oversee facility use. Additional fees may apply for staff presence outside of normal school hours.
If rules are violated, the school may immediately terminate the event and deny future rental requests.
7. Emergency Procedures
The renting party must familiarize themselves with all emergency exits, fire extinguisher locations, and evacuation procedures prior to the event.
In case of fire, medical emergency, or other safety incidents, the responsible individual must immediately notify school administration and emergency services.
Any accidents, property damages, or security issues must be reported in writing to Valor Institute within 24 hours of the incident.
8. Prohibited Activities
Any activity that poses a safety hazard to individuals or could result in damage to school property.
Use of pyrotechnics, fireworks, open flames, candles, or hazardous materials without explicit written approval from Valor Institute.
Unauthorized commercial activity, including the selling of goods, services, or fundraising events not pre-approved by the school administration.
Any activity that violates local, state, or federal laws.
By submitting a request to use Valor Institute facilities, the renting party acknowledges and agrees to adhere to these regulations. Failure to comply may result in cancellation of the event, forfeiture of rental fees, and/or denial of future rental privileges.
